1. The auction shall be held at a Green Country Arabian Horse Association sponsored event. Currently it is held at the Tulsa State Fair with the Tulsa State Fair matching funds at 50%. There is no guarantee Tulsa State Fair will match funds. 2. Stallion owners will donate stallion service to Green Country Arabian Horse Association Futurity to begin at half (50%) of the usual stud fee. Stallion will be entered in each year’s futurities until an email or letter is written by Stallion owner and sent to the Stallion Futurity Committee asking to take their Stallion out of the Stallion Service Auction. Services will be auctioned the night of “Stallion Alley” presentation, for those desirous of buying that night. After the close of the activities, all stallion services not sold during the auction will be available for purchase by e-mail or mailed-in sealed bid. If you are the first bid received with a bid equal to or greater than half the usual stud fee, you are the successful buyer. If payment is not received for the purchase the stallion service will be available to the next bid received. No services will be sold after June 1st of the breeding season. Stallion will be entered in each year’s futurities until an email or letter is written by Stallion owner and sent to the Stallion Futurity Committee asking to take their Stallion out of the Stallion Service Auction. 3. Donations of all breeds are welcome. Buyers of non-Arabian service (i.e., American Saddlebred, NSH, Pinto, etc.) must breed a purebred Arabian mare to these stallions, as futurity classes are open to purebreds and half/Arabians only. 4. All stallion service donations are to be given to the Stallion Auction Futurity chairman prior to the deadline announced each year and shall include: Stallion’s registered name, registration number, names of stallion’s sire and dam, coming season’s stud fee, owner’s name and address, phone number, where stallion will be standing during the upcoming breeding season and if transported semen is available. If the donated stallion is a purebred Arabian, stallion’s DNA must be on record with the Arabian Horse Association. 5. Upon sale of the service, the stallion owner/lessee may enter one of their own foals of like kind by that stallion in that year’s futurity (purebred for sales of purebred breeding, half-Arab for half-Arab). The buyer of the stallion’s service may enter a foal resulting from that service in that year’s futurity. If the buyer or stallion owner does not have a live foal resultant from the service, either may breed to the same stallion the following breeding year. The corresponding prize monies will then be transferred to the next year’s futurity fund, and the resulting foal shall be eligible for the next year’s futurity. Breedings may only be carried over one year to still be eligible to show in the futurity classes. No stud fees will be refunded. 6. Both stallion and mare owners must notify the futurity committee of the mare chosen for breeding by December 1st of the breeding year. Failure to nominate mare by EITHER stallion owner or mare owner will PRECLUDE eligibility to show. Monies attributed to that breeding will then be placed into purse for distribution to remaining entrants. If a nominated mare dies, a 30 day re-nomination period will then be extended after proof of mare’s death (veterinarian certificate) is provided to the futurity committee. 7. Stallion owners may purchase their own stallion’s service. If this is done, they may show two foals in the futurity class. Stallion owners will be notified in writing when the purchase price is paid in full. If the purchase price is not paid in full by the bidder by the deadline of June 1st, the stallion owner, and only the stallion owner, may purchase the breeding AT BID PRICE and show two foals in the futurity. Partial payments on a stallion’s contract will NOT be refunded to the original bidder. 8. Service fee must be paid in full to Green Country Arabian Horse Association prior to service. 9. Foals will be shown in the futurity in their weanling year. 10. Mare owner’s indebtedness to stallion owner should be paid directly to the stallion owner. These include, but are not limited to; board, necessary vet fees, foal-at-side care, etc. All bills must be paid in full to be eligible for the futurity class. Fees not paid by entry into Futurity classes will PRECLUDE ELIGIBILITY for those events. 11. Purebred foals only are eligible to be shown in the Purebred Futurity. Half-Arabian foals eligible for registration with AHA are eligible for the Half-Arabian Futurity class. 12. The Purebred Futurity classes and the Half-Arabian Futurity classes will be designated AMATEUR TO HANDLE classes only. USEF (United States Equestrian Federation) rules require either a current Amateur card or a one time amateur certification fee. 13. Futurity entrants must enter and show in the corresponding open class to be eligible for Futurity winnings. If this is not done, monies will be distributed to the next placing Futurity winner. 14. The futurity will be held at a Green Country Arabian Horse Association event. 15. In the event of the death of the stallion or the stallion is determined to be sterile (vet-certified) for which a breeding has been purchased before the breeding has been consummated; the money actually paid to and retained by GCAHA SSA will be refunded. Buyer can select and purchase another available stallion. Green Country Arabian Horse Association has the option of taking the breeding offered and selling it at private treaty. 16. The stallion service may be paid for in one of the following formulas: Payment in full at time of bid; or one-third down at time of bid, one-third by January 15th and the balance by March 15th. If mare owner wishes to breed prior to March 15th, service must be paid in full prior to breeding, with payment considered past due March 15th. Bids not secured with a one-third payment shall be deemed to be non-binding and STILL AVAILABLE. Payment is required within two weeks of bid. 17. Monies will be divided in accordance with number of colts/fillies entered in the futurity. Example: 30 foals entered, of which 10 are colts and 20 are fillies. 33.3% of the money will pay out to the colt class and 66.7% will pay out to the filly class. 18. GCAHA will try to generate additional funds (donations) to offset expenses. Example of expenses are: hospitality, supplies, advertising, and additional awards. Expenses are not limited to those items. If additional funds raised are not enough to cover expenses, expenses will be deducted from the prize money. Ribbons will be deducted from prize money. 19. Prize money for each futurity class shall be distributed as follows:
20. The Green Country Arabian Association show secretary/manager will ensure that prize money checks are mailed to the owners. The Futurity Chairperson or his/her assigns, shall maintain the records. The Treasurer shall keep the monies and sign all checks. 21. All stallion service donations are to be given to the Stallion Auction Futurity Chairperson prior to the deadline announced each year and shall include: Stallion’s registered name, registration number, names of stallion’s sire and dam, current stud fee, owner’s names and address, phone number, where stallion will be standing during the upcoming breeding season and if transported semen is available. If the donated stallion is a purebred Arabian, stallion’s DNA must be on record with the Arabian Horse Association. The purchaser of a breeding at this auction must get the written approval of the stallion owner prior to selling the breeding to another party. If a buyer sells said service, written notification must be provided to the Stallion Futurity Chairperson. The new owner of the service shall observe all guidelines set forth for the original owner. With proper documentation, the foal of the new owner will be eligible for the futurity. 22. Written notification of a transfer of ownership of a mare, or eligible foal, must be provided to the futurity chairperson within thirty (30) days of the transaction. Please include a copy of the Transfer of Ownership. This shall be the responsibility of the new owner and applies to any change of ownership of an eligible foal, whether stallion owner’s or purchaser of the stallion service. 23. An email between parties constitutes written notification. 24. Responsibility of entering an eligible foal in the futurity class shall be the responsibility of the foal’s owner. 25. In the event of any misunderstanding, the decision of the futurity committee will be final.
